Job Description

West Medical: Medical Assistant

Title: Medical Assistant

Role Summary: To welcome visitors and clients, receive and route telephone calls, and provide clerical and medical support in a medical clinic.

Position Characteristics: Work is generally based around routine; most tasks are well defined, but with variation; some phases of the work are less well defined and may require independent action.

FLSA Classification: Non-Exempt, Hourly

Supervision Received: Ongoing, direct supervision from Clinic Manager

Duties and Responsibilities:

  • Welcomes visitors to the office, assists them in making appointments, assures their comfort and directs them to the proper staff or service; maintains a calendar of staff location and appointments as needed.
  • Registers new patients and updates existing patient demographics by collecting detailed patient information including personal and financial information.
  • Assisting nurses and doctors during physical examinations and procedures.
  • Communicating with doctors, nurses and medical staff oral and written.
  • Prepping exam rooms before and after patient visits.
  • Obtaining vital signs.
  • Collecting detailed patient information including personal, medical & financial information
  • Completion and submission of insurance forms
  • Prepping and updating patient charts
  • Medical Records filing/updating/record-keeping
  • Responds to inquiries by patients, prospective patients, and visitors in a courteous manner
  • Answers telephones; screens calls, forwards calls and /or records and forwards messages accurately; may transcribe messages from telephone answering machine.
  • Facilitates patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff
  • Type’s forms, letters, and other documents as required at acceptable levels of speed and accuracy; collates and photocopies materials as necessary; maintains supply of forms and charts as needed.
  • Maintains necessary files; sorts, files and retrieves documents and records as necessary.
  • Maintains client confidentiality in conformance with company policies, state laws, and federal regulations.
  • Keeps medical office supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment
  • Scan patient’s documents into EMR.
  • Responsible for keeping the patient treatment areas clean and organized
  • Other duties as assigned

Knowledge, Skills and Abilities

  • Ability to establish and maintain positive and professional relationships with co-workers, clients and visitors.

  • Basic knowledge of clinical/medical office setting.
  • Ability to organize, efficiently document, and routinely update patient information.

  • Familiarity with current Windows operating systems and proficiency in required software, including currently supported versions of Windows applications such as Word, Excel, etc.
  • Ability to operate and trouble-shoot general office equipment (e.g., printer, copier, fax, calculator, etc.)
  • Flexibility in responding courteously to immediate needs of visitors and callers; ability to establish priorities and maintain productivity despite numerous interruptions.
  • May require fluency in predominant language of client population served.
  • Evaluates outcomes of the patient care process and provides recommendations for improvement.

Patient Care Coordinator – LB, Rancho, Tarzana

Job Summary

Duties may include:

  • Orients and educates patients and their families by meeting them; explaining the role of the patient care coordinator; encouraging the patient to move forward with the recommended treatment plan; providing educational information in conjunction with direct care providers related to treatments, procedures, and continuing care requirements.
  • Reviews health benefits with patients.
  • Maintains exceptional level of professionalism at all times.
  • Works with other team members to coordinate information and care requirements with other care providers; effectively helping to resolve issues before they affect smooth care progression.
  • Documents the patient's progress from beginning to end and acts as the center point of all communication between the patient and the practice.
  • Routinely follows up with patient via phone throughout their term of their treatment plan and beyond to ensure complete patient satisfaction.

Skills required for this position include:

  • Coordinators must have excellent attendance and open availability (Saturdays included).
  • Strong verbal and written communicator in both English and Spanish required.
  • Friendly, outgoing demeanor with ability to provide positive outlook to patient at all times.
  • Proficiency in Outlook, Excel, Word and excellent organizational and multi-tasking skills.

RN - LB, Rancho, Tarzana

Job Summary

West Medical is looking for a Registered Nurse to practice in our Vein Clinic. This position will be responsible for providing cosmetic and therapeutic care for patients with vein problems in lower extremities. These duties include but are not limited to taking medical histories, performing examinations, administering procedures and help develop treatment plans as directed by the supervising physician. Candidates must possess superior communication and patient care skills, organizational ability, be self-motivated, have the ability to multi-task, be detail orientated, dependable, and focused.

Responsibilities and Duties

  • Assisting doctors during physical examinations and procedure
  • Taking medical histories, performing examinations, administering procedures and help develop treatment plans as directed by the supervising physician
  • Aesthetic & therapeutic consultations
  • Administering aesthetic & therapeutic treatments
